School Administrative Officer

YMCA Christian Academy is a community-oriented International School located in the vibrant Soho district of Hong Kong Island. YCA provides a positive, dynamic, and inclusive learning environment for students in Years 1-6. The school is in its 12th successful year of operation and is accredited by the Council of International Schools (CIS) and the International Primary Curriculum (IPC).

The school is now seeking the School Administrative Officer is responsible for all aspects of school administration, procurement, office administration, maintenance and repair, property and facility for the School. The position requires a high-standard support to ensure the smooth school administration operations.

Job Description:

  • Support school administration daily operations in areas of school administration, procurement, maintenance and repair, property, facility, etc. 

  • Handle school administration external and internal inquiries as necessary.

  • Provide assistance in event coordination and administrative support for school events and activities required.

  • Provide administration support as coordinator with bus company, uniform supplier to ensure the service quality in good shape. 

  • Handle the processing of purchase requisition pertaining to school operation such as office stationery supplies, classroom resources, office equipment, etc.

  • Maintain the good standard of healthy and hygienic environment in School with regular measurement system.

  • Oversee the maintenance of school equipment and maintain the up-to-date records.

  • Assist in the preparation of regularly scheduled reports.

  • Ensure general administrative duties in good service quality such as reception services, courier and mailing services, janitor services, stocktaking, petty cash maintenance, update reports and asset management, etc. 

  • Coordinate with contractors and others for facilities maintenance service as necessary.

  • Coordinate facilities activities, work direction and support systems to ensure the environmental health and safety program.

  • Assist in handling various administrative matters and office routines.

  • Provide administration support to the Managers of Administration Office as required.

Job Requirement:

  • Tertiary or degree holder in Business Administration, Project Management, Facilities Management or related disciplines.

  • Minimum of 3 years solid experiences in office administration, school facilities and maintenance, preferable the relevant experience in international primary school or NGOs environment.

  • Working knowledge of planning, implementing and monitoring school administration, EDB policy and facilitates in advantage.

  • Good command of written and spoken English, Cantonese and Mandarin.

  • Familiar with Microsoft Office packages for producing reports and presentations.

  • Self-motivated, flexible, well organised and able to work independently.

  • Good cross-cultural, interpersonal and effective communicator to interact with diverse nationalities and cultures, willing to serve people at all levels in the School.
